FAQ
We've been in payroll for over a decade, and we've worked with over 100 companies, so many questions have come up. We've put together the most important ones so you don't have to, and to make our service completely transparent.
For each of our clients, we assign a dedicated payroll specialist and a team leader who ensure the accurate execution of payroll tasks on an ongoing, monthly basis starting from the initial kickoff meeting. Our proprietary ERP system (ICT Finance system) records all information arising during consultations and collaboration, so in case of substitution or illness, colleagues can seamlessly continue the work with all necessary data available—without the need to re-discuss previously agreed details. The system also automatically generates tasks and deadlines, ensuring all obligations are completed on time and in compliance with legal requirements.
Within our group, a dedicated onboarding team is responsible for the handover process, allowing our operational colleagues to focus fully on daily tasks while the required payroll data is collected in parallel. During onboarding, we set up the company in the Kulcs-Soft system, record payroll data from previous months of the current year, and configure system parameters. This is followed by a kickoff meeting where we jointly define the workflow of cooperation, including the transfer of time data, vacation and sick leave information, tasks related to social security administration, and the formats of payslips and bank transfer files.
Our group uses the Kulcs-Soft payroll software, which we review every two years to ensure we continuously offer the most suitable solution to our clients. The decision takes into account both the efficiency of our internal processes and client needs. The Kulcs-Soft payroll module and client interface provide a user-friendly and easy-to-use experience.
The software license fee is included in our monthly service fee, meaning clients do not need to register separately, create user profiles, or pay any additional fees.
After payroll processing is completed, each employee receives their password-protected payslip at their previously provided personal email address, ensuring data security and the protection of personal information. For the company’s management, accountant, or finance manager, we provide the full payroll data of the company in PDF, Excel, or CSV format. We also prepare the bank transfer file in the format required by the client’s bank, resulting in significant time savings while reducing the risk of errors related to salary amounts, bank account numbers, and currencies.
We take full responsibility for our work and also maintain professional liability insurance—although fortunately, it has not yet been needed. All related tax filings are submitted through our managing director’s Client Gate (Ügyfélkapu), ensuring that in the event of any dispute or penalty, the Tax Authority holds us accountable rather than our client.
Yes, it is possible. We can provide “read-only” access to the system. If the client also uses the Kulcs-Soft web interface or Shift Management module, we configure the necessary permissions to ensure smooth uploading of payroll, time tracking, and leave data.
Our contract is concluded for an indefinite period, allowing clients to decide flexibly on the continuation of the cooperation. In the event of termination, a standard notice period of two months ensures a smooth transition.
